Q:
Where can I find my organization's budget?
All currently chartered graduate organizations
have an account with the university. To view that account activity, you
can go to http://safc.uncc.edu/node/12.
Click on the link for Graduate and Professional Student Government. The
org budgets are in that Excel spreadsheet on the various pages.
Q: Who
are my Organizational and Divisional Representatives?
The organizational representative is your group's
treasurer if you're in a group. If you're not in a group, you don't have
an organizational representative. All graduate students have a divisional
representative because he's the GPSG Treasurer.
Q: What
is at-large travel, and how do I know if it applies to me?
If you do not belong to any chartered graduate
group and you are a graduate student, you are an at-large member of GPSG, and will be
considered an at-large traveler.
To see if you fall under a graduate group, check out our currently
chartered organizations.
Q: My
group has an operational fund. Can I use it however I want to?
Yes and no. You
do not have to get approval from the finance committee to spend this money --
like you do on all other types of money, but there are still
guidelines
that you have to follow. The main thing to remember is that you still have
to fill out all the correct forms. There's just one less step to go
through to get the ok to spend that money.
Q: My
group doesn't have an operational fund. What can I do?
New groups and groups which missed the re-chartering
deadline will not be automatically granted an operational fund. If you
have chartered with GPSG, you can
apply for an operational fund. If you
are a new group and chartered within the deadline, as soon as you request an
operational fund, it will automatically be put in your school account. If
you missed the re-chartering deadline, your request will be brought before the
finance committee. To get the details on how to submit that request,
contact the GPSG Treasurer
(gpsgtreasurer@uncc.edu).
Q: Will I
need to submit a budget for my group for next year?
No, not technically, but it would be in your best
interest. Operational budget:
At the end of the Fall Semester, a budget update on your operational fund is due.
This update needs to state how you've used your money and how you're planning on
using the rest of your money. Any money which is not set aside to be used,
will revert back to GPSG's general fund. So it is in your best interest to
submit this budget. Budget for you group: GPSG no longer has individual group budgets; however, to help accurately prepare
the entire GPSG budget, the GPSG Treasurer may ask groups to submit an estimated
budget for the coming year.
Q: If
at-large travelers can get money for travel too, why should my department bother
having a chartered organization? Travel
Funding: There are restrictions on at-large travelers that do not apply to
travelers from a chartered organization. For example, for any one trip an
at-large member can get a max of $400 (a chartered member can get up to $500).
Additionally, for the entire fiscal year, any one at-large member can receive a
max of $400 (a chartered member can get up to $800). Lastly, at-large
members have restrictions on their departments. A department which does
not have a chartered group can received up to $1000 total in travel funds for
all of its students (a chartered group has no such restriction).
Event funding & operational funding: If your group
is not chartered with GPSG you cannot access event funding nor can you get an
operational fund.
Q: Where
do I find all these different forms, and how do I fill them out?
Go to the GPSG forms page
to get almost any form you'll need, and in the Treasurer's Corner you can find
detailed instructions on how to fill out these financial
forms.
To get instruction on how to fill out the
re-chartering forms, contact the GPSG Vice-President
(gpsgvicepresident@uncc.edu).
To get instruction on how to fill out the volunteer points form and/or the
senator proxy form, contact the GPSG Secretary
(gpsgsecretary@uncc.edu).
Q: Where
do I find all the details of the funding process?
Go to the
GPSG Treasury Laws to get the guidelines that we have to follow. To
see how we apply these guidelines in plain English, go to the
Treasurer's Corner you can find detailed instructions
on the financial process.
