In NTSO, we pride ourselves in developing and being accountable
for personal and professional responsibilities. We also believe that to create and sustain
a successful Executive Board all of the members of the Board are equally important.
Each member has specific job duties to fulfill. We believe that if everyone is working to his or
her full professional potential, the organization as a whole is sure to be successful.
We cordially invite you to inquire about and consider holding an officer

All Officers' Responsibilities
|
- Always prepare an agenda.
- Each officer should consult on what needs to be covered in the meeting for that month.
- Ensure that every member has the opportunity to speak and get their views heard during meetings.
- Officers should remain impartial at all times.
- HAVE FUN! If being involved in NTSO isn't fun or rewarding, then why do it?
- Make sure members and guests are comfortable, feel welcome and have a good time at the meetings and events.
- Maintain an officer's notebook of pertinent information to facilitate successful officer transitions.

President
|

Know and familiarize fellow officers with the primary goals and priorities of the organization.

Be familiar with the general guidelines of how to run a meeting.

Learn to delegate responsibilities effectively. An organization where the president does all the work is rarely successful.

Work closely with the NTSO advisor and with others who might help with the organization.
-
Look to faculty and administration for assistance and support.
-
Be the primary contact for the organization to faculty, staff, students, and administration.
-
Prepare a master plan for the semester's activities early.
-
Have a clear idea of the goals to be accomplished.
-
Be impartial, fair, and courteous.
-
Carry out the group's decisions and wishes, not personal agendas.
-
Schedule regular meetings for the organization, and well as separate meetings for the executive board.
-
Be sure to invite the group advisor to all meetings.
-
Serve as the representative for the organization at the university meetings such as SAFC
workshops, Interclub Counsel, and Registration (SOAR).
-
If unable to attend, assign a representative to attend these very important meetings.
-
Personal contact with every member within 2-3 weeks of enrollment.

Vice President
|
-
Take over the president's responsibilities when he/she is unable to carry them out.
-
Learn the organization's priorities, relevant university policies, and SGA guidelines governing clubs and organizations.

Have a working knowledge of meeting procedures to assist in running meetings.
-
Some meetings may require the Vice President to conduct them rather than the President.
-
Work with the president and the advisor in planning and executing organizational goals.
-
Serve as the representative for the organization at university meetings as needed.

Secretary
|
-
Record and keep accurate records including addresses, phone numbers, email addresses, etc.
-
Send correspondence for the organization.
-
Remember to always keep a copy for the files.
-
Send welcome e-mail immediately!
Send new members a welcome email within two weeks of enrollment.
-
Take accurate minutes during the meetings.
-
If unable to attend, be sure to assign a representative to assume your duties.
- Submit notes to the Advisor for
posting on the NTSO Web site.

Update members via e-mail about the meeting and refer to the Web site for the minutes.
-
Be sure to take motions down accurately as they will be read back prior to a member vote.

Treasurer
|

Work closely with the SAFC Manager, Jennifer Fleming, on all club-fundraising issues.
-
Jennifer is located on the 3rd floor of the Cone Center, Student Association Offices.

Be aware of all policies regarding the disbursement of funds so that NTSO is in compliance with all NC laws, rules of SAFC, and the state of NC.
-
Obtain advisor/president signatures on all documents as required.
-
Plan ahead. It takes little time to process all requests.
-
Be the organizations primary contact for the contracts.
-
Remember, do not enter into any contractual agreement. Contact
Zane Reif, Assistant Director of Student Activities for more information regarding contracts.

Keep track of all transactions and know the status of the organization's accounts.
-
Prepare a current budget and present at every monthly meeting.
-
Pay all bills promptly.
-
Keep copies of all receipts, etc.

Promotions Coordinator
|

Develop and implement publicity for organization events, including
activities and charity functions.
-
Maintain records of methods (may be used to help in determining effectiveness
of publicity methods for future events).

|
Entertainment Coordinator
|
-
Organize and provide entertainment for organization events.
-
Maintain records of both past and future engagements.
